What is a searchable PDF?
A searchable PDF contains text a reader can find or select. For an image-only scan, optical character recognition, or OCR, can create that text layer. Adobe’s OCR guidance explains this process and recommends checking the recognized text. A search result is useful, but it does not establish that every character was recognized correctly.

Check what is already in the file
Try selecting a word and searching for a distinctive phrase visible on the page. Repeat on several pages because one document may mix original digital pages with scans. If a search fails, inspect the page rather than assuming the phrase is absent. A file may have no text layer, an incomplete layer, or recognized text that differs from the image.
Choose the output by the next task
Folder & Form recommends deciding what you need to do after processing. Finding a supplier name in a scan requires a different deliverable from calculating totals or revising a paragraph. State that next task in the scope request so the quote includes the work you actually need.
- Find words inside existing page images: request searchable PDF processing with agreed review checks.
- Rewrite or reflow document content: discuss an editable document conversion and its layout requirements.
- Sort rows or calculate from tables: discuss structured extraction into a workbook.
- Find the right document across a collection: combine useful filenames, an agreed folder structure, and any necessary OCR.
Use a practical OCR review checklist
Our suggested review checks the source image and the recognized result together. Choose important search terms from different parts of the document and note what you checked. If the scope requires specific identifiers or amounts, compare those characters directly. A short sample helps reveal problems, but only the agreed review coverage should be described as checked.
- Confirm that expected pages are present, oriented correctly, and readable.
- Search for a distinctive term near the beginning, middle, and end of the document.
- Copy a short passage into a temporary working note and compare its characters and order with the page.
- Inspect ambiguous characters, punctuation, and any fields important to the intended use.
- Record failed searches or unreadable areas with a page reference; do not fill gaps by guessing.
Searchability is one part of accessibility
Readable text alone does not resolve every accessibility need. Adobe’s accessibility guidance also covers document tags, meaningful reading order, and alternative text for figures. If your deliverable has an accessibility requirement, state it separately and agree appropriate specialist review. A routine OCR job should not be represented as an accessibility certification.

Keep the original and label the processed copy
For an ordinary document workflow, keep the source separately and use a clear label for the processed output. Record page coverage and unresolved issues in the handoff. If a file has signatures, restrictions, or special record requirements, discuss those before processing. Do not treat a successful text search as permission to overwrite or discard the original.
Describe source quality when requesting help
Tell Folder & Form the approximate page count, whether pages are printed or handwritten, whether any are faint or rotated, and what you need to search for. Avoid sending the contents in the website form. Source quality and review requirements determine the scope, and private sample instructions can follow where necessary.
A few useful answers
Does OCR turn a PDF table into an Excel spreadsheet?
OCR recognizes text. A usable spreadsheet additionally needs the agreed rows, columns, field types, and review checks. Specify that output when requesting a quote.
Why can I see a word but not find it with search?
The page may have no text layer, or its recognized text may not match the visible word. Compare the page image and any selectable text before assuming the word is absent.
Does a searchable PDF replace the original?
Do not assume that it does. Keep the original under the agreed handling rules and treat any replacement or deletion as a separate decision.
