Planning a project

What to include in a document service quote request

Describe the source format, approximate volume, desired output, deadline, and known complications. You can request a useful scope review without attaching documents or arranging a phone call.

Begin with the result you need

A document quote becomes easier to define when the desired output is concrete. A searchable PDF, an editable document, a spreadsheet of line items, and an organized folder collection are different deliverables. Say what you intend to do with the result and which part of the job is currently difficult. If you are unsure of the format, describe that next task instead.

  • Conversion: identify the current file type and the output format you need.
  • PDF extraction: describe whether you need every line item, a document summary, or selected fields.
  • Organization: explain how you need to retrieve the files, such as by project, client, or period.
  • Recurring work: describe what arrives in a typical week and where finished records should go.

Estimate volume in the right unit

Give a rough file count and, where relevant, page or row count. Ten one-page PDFs are a different scope from ten books. Say whether tables use one repeated layout or several, and whether the source is selectable text, scans, photographs, or handwriting. An honest estimate with its uncertainty is more helpful than an exact-looking count that leaves out difficult material.

Mention complications before the price is fixed

Call out poor readability, mixed formats, missing references, repeated versions, and unclear fields. Explain any layout or calculation requirement separately. For organization work, name the number of source locations without sending credentials or private access links. You do not need to design the whole folder system or rename the files before requesting a review.

State the deadline and the decision process

Include the date you need the finished work and whether a partial delivery would be useful. The service must confirm capacity and the actual schedule; a requested deadline is not an accepted commitment. Identify who can answer scope questions and accept the result. For recurring work, explain the arrival pattern instead of assuming a monthly plan includes an unlimited backlog.

Keep the first message free of source documents

Use general descriptions in the quote form. Do not paste document contents, passwords, full account details, or private upload links. If a sample is needed, agree the permitted material and private provider channel first. Especially sensitive material needs separate assessment and is outside the initial self-service scope. Physical handoffs, shipping, and destruction also require their own confirmed arrangements.

Copy this scope checklist

This is Folder & Form’s suggested starting point. Fill in what you know and write unknown where needed. The checklist is optional; a short description is enough to start. Keep it about the work, not the contents of the records.

Know what an indicative price covers

An indicative price is based on the scope you describe. A confirmed fixed-scope quote states the deliverable, eligible inputs, checking requirements, schedule, and exclusions. Folder & Form’s calculator shows a standard price or a review path before contact details. If the source later differs from the agreed description, the next step is a scope decision, not an automatic additional charge.

A few useful answers

Do I need an exact page count to start?

No. Give your best estimate and say what is uncertain. A fixed-scope price requires confirmed quantities and source conditions before the work begins.

Will I have to book a call?

No. Folder & Form supports online scope questions and written quotes. A call is optional if it would help you.

Can I send files through the quote form?

No. The form collects contact and scope details. Source documents use separately agreed private provider instructions after the handling requirements are confirmed.
