How to check PDF-to-Excel accuracy before using the spreadsheet

Compare the workbook with the PDF for complete rows, correct columns, preserved identifiers, signs, dates, and totals. Keep a visible exception list for anything the source cannot resolve.

Start with an inventory of the source

Folder & Form recommends checking coverage before individual cells. Note the source files, page ranges, tables, and any pages intentionally excluded. A tidy workbook can still omit a page or repeat a table. Decide whether the output represents one row per line item, one row per document, or another agreed unit; row counts are useful only when everyone is counting the same thing.

Check page breaks, headers, and wrapped rows

Inspect the first and last entries on each source page and the points where a table continues onto another page. A repeated header should not become a data row. A description wrapping across three lines should remain attached to the right item. Compare the column labels with the actual values, especially when a later page changes its layout.

  • Coverage: every in-scope table and page has an identifiable destination.
  • Rows: continuations stay attached; footnotes and repeated headings are handled consistently.
  • Columns: quantity, unit price, line amount, and reference fields have not shifted.
  • Traceability: a source reference and page or table reference make exceptions easy to revisit.

Look closely at values that can change meaning

Check zeros, decimal marks, minus signs, parentheses, and printed dates against the PDF. Do not interpret a dash as zero unless that convention is confirmed. Keep identifiers separate from amounts: Excel’s automatic numeric handling can remove leading zeros or alter long numeric codes. The linked guide explains how to preserve those fields as text before import.

Use totals as one check, not the whole review

Where the source supplies a total, compare the equivalent set of rows. Exclude subtotals from a sum that already includes their detail. Separate currencies, tax, credits, and rounding according to the agreed scope. Matching totals cannot prove every row is correct: equal and opposite errors can cancel each other, and an item description can be wrong without changing the sum.

Give scanned PDFs an additional text check

A scanned PDF may need optical character recognition before extraction. Adobe describes OCR as adding searchable text to an image scan and recommends reviewing the result. Our suggested check is to compare ambiguous characters directly with the page image, then record anything unreadable instead of silently substituting a likely character.

Use a small review log

A review log is most useful when each entry points to one decision. Record where the issue appears, what you can observe, and who can resolve it. State whether the review covered every row or a defined sample. A sample can help assess source quality; it does not establish that unreviewed cells are correct.

Agree what the conversion service will verify

Before ordering, describe the layout variations, whether the PDF is scanned, and the checks the deliverable needs. Selectable, consistent tables may qualify for the standard PDF-to-Excel scope. Handwriting, unclear scans, conflicting layouts, or special calculations need review. The agreed output should identify remaining exceptions and the extent of checking performed.

A few useful answers

Does a matching total prove the conversion is accurate?

No. It is one useful check, but missing labels, wrong references, and offsetting value errors can remain. Compare the structure and important fields with the source as well.

Can every PDF use the same checking process?

The basic questions are similar, but the review scope depends on source quality, layouts, and the intended use. A scan with unreadable characters needs different handling from a consistent selectable-text table.

Should unclear cells be left blank?

Use the agreed exception rule. A blank with a source reference and a question is more useful than a guessed value, but it must be distinguishable from a field that was genuinely empty in the source.
