Organize business records
Receipts organized around the way you work.
Give existing digital receipts a consistent destination and a traceable index. We agree how to group them, identify unclear records, and prepare a manageable handoff.
Choose a useful way to retrieve them
A contractor may look by project; a bookkeeper may need client and period. We agree the primary structure before moving anything. Supplier and document date can serve as secondary references. You can send the agreed collection as received rather than spending a weekend renaming files before asking for help.
Keep each source connected to its record
The scope can include a receipt reference, original-to-new-name mapping, folder destination and a short question list. Photos and PDFs that appear to represent the same receipt are flagged for comparison. A duplicate candidate is not automatically deleted or treated as a second purchase.
Handle unclear projects without guessing
An undated receipt stays visibly undated. A receipt covering more than one job needs allocation instructions from an authorized person. We record the question and the answer before applying the agreed filing rule. Upload time, file location and a familiar supplier name are not enough to invent a project or transaction date.
Add data capture only when it is useful
Filing a receipt and typing its line items are separate tasks. If you need amounts, item details or an import sheet, we review those fields as additional scope. The resulting record supports your bookkeeper’s work; it does not decide tax categories, deductibility, reconciliation or whether an expense should be approved.
Define the backlog and the next batch
A one-time cleanup has a defined collection, agreed output and review point. Document Desk may suit repeated incoming receipts after fit review and setup, with a defined allowance. Historic backlog and structured extraction do not become unlimited monthly work. Physical receipt scanning also requires separate confirmed arrangements.
Start with the collection size and source locations
Describe approximate file counts, formats, how far back the collection goes, and the way you need to find records. We confirm the work, price, handling and schedule in writing. Keep source documents out of the website form; private provider instructions follow the agreed intake process.
A few useful answers
Do you need paper originals?
This page covers existing digital receipts. Scanning, shipping and physical handoffs require separately confirmed local arrangements.
Will you categorize receipts for taxes?
No. Filing uses your approved organizational rules. Your bookkeeper or other authorized professional makes accounting and tax decisions.
Can this become a monthly service?
Recurring filing can be reviewed for Document Desk after setup, allowance and handling rules are agreed. Backlog cleanup and detailed extraction have separate scopes.
