Use the bookkeeper’s requested scope
Start with the business or client reference, period and exact document types requested. A folder labeled monthly records is ambiguous if it mixes issue dates, received dates and service periods. Let the authorized professional define what belongs in the handoff and how items spanning periods should be treated.
Keep a source reference for every included record
Use stable references so a question about one receipt or invoice can be answered without resending the entire collection. A manifest can identify document type, printed date where known, supplier reference and location. Keep account credentials and especially sensitive information out of general-purpose notes and public website forms.
Separate credits and repeat submissions
A credit note should stay recognizable as a credit note. A resubmitted receipt should be compared with the earlier source rather than automatically counted as another item. Flag suspected duplicates and revised documents. The bookkeeper decides the accounting consequence; organizational cleanup should not silently reverse or combine transactions.
Make missing documents a question list
If an expected source has not arrived, record what is missing and who can obtain it. Do not create a placeholder amount or assume that absence means zero activity. Distinguish missing source, unreadable field and unclear period. A useful question identifies the record or request and the exact decision needed.
- Collection and period covered by this delivery
- Included source references and document categories
- Items still expected or awaiting a clearer copy
- Possible duplicates or conflicting revisions
- Person responsible for resolving each question
- Date and revision of the delivered collection
Treat spreadsheet preparation as a separate task
If your bookkeeper wants invoice fields or receipt details in a sheet, agree the row unit, columns and checking coverage before entry. Avoid making up categories to complete the table. Capturing a printed amount or organizing sources does not mean the books are reconciled, a deduction is valid or a payment is authorized.
Close the loop on receipt and questions
Use the agreed private delivery method and have the recipient confirm access. Record any replacement files as revisions so the bookkeeper knows which source changed. Keep unresolved items attached to the collection's references until answered. A steady recurring handoff can use the same naming and intake rules after the initial workflow is agreed.
A few useful answers
Should I choose tax categories before sending documents?
Follow your bookkeeper's instructions. This guide covers document preparation; accounting classifications and tax treatment belong with the authorized professional.
Can a folder of receipts replace a requested spreadsheet?
Only if the recipient accepts that deliverable. Confirm whether they need sources, an index, structured fields or a combination.
Can recurring filing include all historical backlog?
A recurring allowance and a historical cleanup have different scopes. Agree the backlog and ongoing workflow separately before service starts.
