Document data preparation
Invoice details, in the spreadsheet you need.
Turn suitable digital invoices into agreed spreadsheet fields, with source references and unclear values flagged. Choose invoice summaries, line items, or both before the work begins.
One row per invoice, or one row per item?
A document summary answers which invoice carries a printed total. A line-item sheet answers which products or services appear on it. Those are different jobs. We agree the row structure and the connection between sheets so a document total does not get counted once for every item.
- Summary fields may include supplier reference, invoice number, printed date, currency and total.
- Item fields may include source line, description, product code, quantity, unit and printed amount.
- Each row retains a source reference so a question can be traced back to its document.
Keep credits, blanks and uncertain values distinct
A credit note, a missing invoice number and an unreadable digit should not be forced into one generic blank. We establish how each condition is recorded. Printed amounts are captured under the agreed rules; tax calculations, exchange rates and payment status are not inferred from the presence of an invoice.
What comes back
Receive the agreed workbook or CSV output, field definitions, and an exception list identifying questions that the source could not resolve. Where the scope includes totals or row checks, the handoff describes their coverage. Your unchanged sources stay separately identifiable throughout the preparation process.
A quote follows the actual invoice mix
Tell us the approximate document count, whether you need line items, and how many supplier layouts are involved. Scans and photographs need a source-quality review. A straightforward selectable PDF table may fit the standard PDF-to-Excel scope; mixed invoices receive a reviewed quote. Price and schedule are confirmed after the required fields and checking level are agreed.
Prepared for your bookkeeper’s decisions
This service prepares records. Your authorized professional decides account coding, reconciliation, tax treatment, approval and payment. Direct access to accounting software, automated synchronization and an accounts-payable workflow are outside this deliverable. If a system import is planned, supply its current field specification through the agreed scope process.
Begin with a description
Use the quote route to describe formats, quantities and the output you need. No call or account is required to see an indicative price or review path. Keep invoice contents and full account details out of the form. A private sample or delivery channel is arranged separately when needed, before source documents are sent.
A few useful answers
Can you extract every line item?
Line-item capture can be included after reviewing readability, layouts and required columns. It is a different scope from recording one summary row per invoice.
Is this bookkeeping or payment processing?
No. We prepare agreed fields and source references. Accounting classifications, reconciliation and payment decisions remain with your authorized professional.
Can all invoices use the instant PDF-to-Excel price?
Only sources that meet that calculator’s specific table, layout and quantity conditions. Mixed layouts, scans and custom field selection go through scope review.
