Collect a few real retrieval questions
Ask the team what they search for: a project quote, the current supplier list, an old completed job or a template. Group these questions before drawing a folder tree. If most work is retrieved by project, a project-first structure may fit. If the same reference material supports many projects, give it a clearly maintained shared home.
Choose one primary home for each record
A document can relate to a client, project and supplier at once. Decide which relationship determines its primary location and how the others will be recorded. A small index can describe secondary relationships without creating several uncontrolled copies. Document the distinction between working records, shared reference material and historical versions.
Pilot a structure on an authorized copy
Use a bounded collection that includes common records and a few awkward cases. Preserve original references and propose names before applying them broadly. Do not start by moving the entire live collection. Ask two intended users to find specific records in the pilot, then adjust labels that only make sense to the person who created them.
Review access with the responsible administrator
The person responsible for the storage account should review access to proposed destinations before a move. Identify existing shared locations, restricted records and links people rely on. Folder design does not establish permission to copy material or broaden access. Keep unrelated personal and especially sensitive collections outside the authorized scope.
Write down the transition rule
Choose when new work switches to the agreed structure, how the old locations are identified and who resolves in-progress changes. Keep an original-to-new-location map when names or paths change. A clear transition reduces the chance that two teams continue updating different versions in different places.
- Approved source collection and destination
- Person authorized to settle version and access questions
- Record of naming or location changes
- Place for unclear records awaiting a decision
- Date and owner for the handoff review
- Rule for files that arrive while cleanup is underway
Leave a maintenance note people can use
A short guide should answer where new work goes, how to label an unknown date, who owns shared reference files and what to do with an uncertain revision. Avoid elaborate nesting that users will abandon. Review the guide against the next ordinary batch of incoming work. If the collection keeps growing, a defined recurring filing workflow may help.
A few useful answers
Should every file go in several folders?
Prefer a defined primary home and a way to record additional relationships. Multiple independent copies can create competing versions.
Do I need a new storage system?
Not necessarily. A practical structure, ownership rules and an index may work within the existing approved destination.
Will Folder & Form connect directly to my cloud drive?
The initial service uses an agreed source collection and private provider-backed handoff. The website does not request cloud-drive OAuth or account passwords.
